Volunteer Coordinator

Clan Cancer Support is a well-established, local charity providing emotional and practical support to people affected by cancer, their family, carers and friends. Services are freely offered to all from pre-diagnosis, prehabilitation and diagnosis, through treatment and beyond at 11 support and wellbeing centres located across north-east Scotland, Moray, Orkney and Shetland. Digital innovation developed during the Covid pandemic has extended Clan's reach, offering more services across a broader geographical area than before. The charity’s aim is to help people live with and beyond their or their loved one’s cancer diagnosis and improve the quality of life for all those who turn to the charity for help and support. The organisation has around 60 full-time and part-time employees and contracted staff, supplemented by a significant community of committed and talented volunteers and an exciting opportunity is now available to join the team.

The Volunteer Coordinator will manage overall volunteering recruitment and retention, providing guidance and practical support and be the key point of contact for volunteers in Aberdeen city. As well as managing Clan House Drop in Service and the supervising listening and support volunteer team. Liaise with Clan Area Coordinators to support them to manage and adhere to the Clan recruitment process. Main responsibilities also include:

  • Be the key point of contact for volunteers in Aberdeen city and surrounding area and liaise with Area and Local Coordinators throughout Clan wider services across the Islands and North East of Scotland to support them to manage volunteers locally and to adhere to Clan recruitment process.
  • Daily management and co-ordination of the Clan House drop-in service and supervising the listening and support volunteer team.
  • To increase the number and diversity of our volunteers and encourage the creation of new opportunities for volunteering.
  • Develop current volunteering roles in Clan such us support volunteer, events volunteer, Children and Family Service volunteer and shop volunteer.
  • Manage Corporate Volunteering opportunities and building positive professional relationships with local providers/ businesses.
  • Target and engage effectively with a wide range of potential sources of specialist volunteers.
  • Ensure volunteers are clear about their role, remit, and have the training to undertake the duties asked of them in line with Clan’s policies and procedures.
  • To ensure support and tasks for volunteers is relevant, useful and motivating and that regular opportunities for development/learning are made available.
  • To ensure that, where necessary, volunteers maintain records in accordance to Clan policy.
  • To communicate with the volunteers regularly to re-assess their skills, their needs, and areas of interest within Clan.
  • To ensure a good and supportive system of de-briefing and supervision is available to volunteers after providing support to clients if necessary.
  • To hold regular meetings with the key groups of volunteers in Aberdeen to share good practice, discuss operational issues, and to provide key updates as required. To meet at least annually with volunteers from fundraising and events.
  • To ensure volunteers are aware of the Services Clan provides, and systems are in place to update as required in line with Clan communications.
  • To develop a social network/events for volunteers.
  • Identifying and supporting new volunteers.
  • Ensuring the volunteer service matches the operational needs for Clan.
  • Publicising and promoting the work of Clan externally.
  • Attending Clan staff meetings and contributing ideas to operational and strategic plans.
  • Be part of Clan projects and attend Clan events as required.
