Facilities Co-ordinator

We are looking for a Facilities Co-ordinator with excellent communication skills who can confidently support Clans’ Facilities services. You will be keen to identify problems and suggest solutions in a wide range of situations, supporting a variety of tasks and projects including the management of specialist sub-contractors and supply chain partners. This role would suit a strong administrator with a facilities services background.

The ideal candidate will have:

  • Formal training of facilities management strategy, planning and operational control.
  • Be capable of prioritising and problem-solving issues.
  • Customer services experience and the ability to communicate at all levels.
  • IT skills using Microsoft Office applications.
  • Practical experience of working with facilities management procedures.
  • Understanding of health and safety and risk management.
  • Full clean driving license (D1 category license desirable).

Key responsibilities & duties include:

  • To provide administrative support to the Facilities Manager.
  • To consult with contractors and third parties as required.
  • Point of contact in absence of Facilities Manager.
  • Involved with the management of services and utilities including energy, maintenance/repairs, cleaning, security, gardening, mail, photocopiers, printing etc across all Clan premises.
  • Support Facilities Manager keeping all H&S policies, procedures and risk assessments under review, current, and to implement these effectively, ensuring consistency of policies and procedures.
  • Ensure a high level of customer service is maintained at all times.
  • Ensure a safe and positive client/visitor experience.
  • Provide cover to reception as and when required as part of the administration support team which may include working out of core hours.
  • Provide driver cover to for the patient transport service as and when required.
